Dear Residents,
We wanted to provide a comprehensive update as we begin the new week. There is quite a bit of information below, so please take a few minutes to read through the entire message.
Iowa Building Access
We continue to have access to portions of the Iowa Building and will continue assisting residents with retrieving belongings from approved-access areas.
However, beginning tomorrow, access will be handled by appointment and schedule rather than having staff stationed on-site throughout the day. Over the past several days, our team has focused almost entirely on emergency response efforts, and we now need to begin transitioning back to the many administrative, reimbursement, housing, insurance, and operational tasks that remain.
We are still committed to helping residents gain access wherever permitted, but we ask for your patience as we move to a more structured scheduling process.
Housing and Hotel Assistance
One of our highest priorities this week is understanding the current housing situation of all displaced Iowa residents.
Our initial emergency assistance plan was designed to help residents through the immediate aftermath of the fire, and the timeframe we originally communicated extends through Tuesday morning.
If you are currently staying in a hotel, we need to hear from you as soon as possible regarding your housing plans moving forward.
We understand that everyone’s situation is different. Some residents may be returning home, some may need temporary housing through the end of the quarter, and others may need longer-term accommodations.
For students, UCR has identified some available housing options, and in many cases we believe a student housing solution will be a better long-term option than continuing to stay in a hotel indefinitely.
Please complete the housing survey if you have not already done so and communicate with our team regarding your current housing status. The more information we have, the better we can assist residents in finding appropriate solutions.
Rent Credits
Both Iowa and Everton residents will receive a three-day rent credit as a result of the disruption caused by the fire incident.
Everton Residents
Your three-day rent credit will be applied in addition to any reimbursements you may be entitled to receive. Processing these credits is one of our highest priorities so residents can begin seeing those adjustments as quickly as possible.
Iowa Residents
You will also receive the same three-day rent credit. Because many Iowa residents are already receiving reimbursements and refunds, we intend to incorporate those credits into the reimbursement process whenever possible.
Please understand that processing credits and adjustments across hundreds of bed spaces takes a considerable amount of administrative work. Our immediate focus has been safety, housing, access, security deposits, and emergency assistance. We are now transitioning into the clerical portion of the recovery process and appreciate your patience as we work through these items over the coming weeks.
Everton Building Updates
Internet Service Restored
We are happy to report that Spectrum has successfully restored internet service to the Everton Building as of today.
Environmental Testing
As an additional precaution, independent environmental consultants will be visiting the Everton Building on Wednesday 9AM to collect samples and perform testing.
Based on all observations to date, the building appears to be in very good condition and has already been cleared for occupancy. The testing is simply an additional step to provide residents with confidence and verification regarding the building’s condition.
Window Replacements
We have identified several units with damaged windows resulting from the fire event. We will be replacing those windows entirely as part of the ongoing recovery process.
Iowa Building Updates
Security Deposit Checks
All Iowa Building security deposit checks are ready.
Checks will be available for pickup beginning:
Tuesday at 9:00 AM 3993 Iowa Avenue – Sunrise Village Clubhouse
Mail Pickup
As a reminder, mail sorting and pickup for both buildings will occur:
Wednesday from 9:00 AM to 5:00 PM 3993 Iowa Avenue – Sunrise Village Clubhouse
We are also continuing conversations with USPS regarding longer-term mail delivery procedures and will provide updates as soon as they become available.
Housing Survey
If you were displaced from the Iowa Building and have not yet completed the Google Form regarding your future housing plans, please do so as soon as possible.
The information collected helps us better understand resident needs and allows us to continue identifying housing opportunities and resources.
Reimbursements
We are actively working to finalize reimbursements.
We understand that the tenant portal process has not been ideal, particularly due to some of the automated features that have complicated submissions.
As an alternative, residents may simply email:
Please include your unit number in the subject line and attach copies of all invoices, receipts, and supporting documentation. Our team will create the reimbursement work orders on your behalf.
Our goal is to have reimbursement checks ready by Friday, and we will provide updates if that timeline changes.
Remediation Process
We are pleased to report that we have selected a remediation company and are beginning the next phase of recovery.
This is an important milestone in the process and will allow us to begin moving forward with demolition, cleanup, environmental work, inspections, and ultimately rebuilding efforts.
While there is still a long road ahead, this represents a major step toward recovery.
